4.1. Product Information & Descriptions - We strive to provide accurate and detailed descriptions of all products and services offered by Vivian May Interiors. While we make every effort to ensure that product images, specifications, dimensions, and colors are represented as accurately as possible, variations may occur due to screen settings, lighting conditions, or supplier modifications.

 

We do not guarantee that the colors displayed on your device will exactly match the physical product. If precise color accuracy is essential, we recommend contacting us for guidance before purchasing.

 

4.2. Product Availability & Stock Levels - All products listed on our website are subject to availability. Stock levels are updated regularly, but we do not guarantee real-time availability. If an item you order becomes out of stock or unavailable, we will notify you as soon as possible and offer:

  • A refund for the unavailable item.

  • The option to wait for restocking (if applicable).

  • An alternative suggested product (where available).

 

We reserve the right to limit the quantity of products sold per customer to prevent bulk purchasing for resale purposes.

  • Klarna, ClearPay & Other Financing Options (subject to approval by the payment provider)

If we detect fraudulent activity or unauthorized payment attempts, we reserve the right to cancel the order and take further action if necessary.

 

4.4. Order Processing & Confirmation - Once an order is placed, customers will receive an order confirmation email summarizing the purchased items, total price, and shipping details. This confirmation does not constitute acceptance of the order. We reserve the right to decline or cancel an order for reasons including but not limited to:

  • Stock unavailability.

  • Payment verification failure.

  • Incorrect pricing or product listing errors.

  • Suspected fraudulent activity.

If your order is cancelled after payment has been made, we will process a full refund to the original payment method.

 

4.5. Custom Orders & Upcycling Commissions - Vivian May Interiors offers a Customer Commission Service, where customers can have their own furniture upcycled using Frenchic products. Due to the bespoke nature of this service:

  • Custom orders are non-refundable once work has commenced.

  • Customers must provide full details and agree on the design, color, and finish before work begins.

  • Any changes requested after the work has started may incur additional charges.

  • Completion timescales will be provided, but delays may occur due to drying times, material availability, or unforeseen circumstances.

 

4.6. Service Availability & Modifications - We reserve the right to modify, discontinue, or update our products and services at any time without prior notice. This includes:

  • Adding or removing products from our catalogue.

  • Adjusting prices, stock availability, or service offerings.

  • Updating policies and procedures related to Frenchic Paint sales, furniture commissions, or jewellery buying services.

While we aim to maintain the highest standards in all our products and services, Vivian May Interiors is not responsible for any disruptions, delays, or errors arising from supplier shortages, shipping issues, or external factors beyond our control.

5. Shipping & Delivery

5.1. Shipping Services & Timeframes - We offer standard shipping across the United Kingdom, excluding Northern Ireland, using trusted courier and postal services. Delivery times may vary depending on your location, stock availability, and courier efficiency. Check our delivery policy page for estimated delivery times. 

 

While we make every effort to dispatch orders promptly, we cannot guarantee exact delivery dates as delays may occur due to weather conditions, courier disruptions, or other unforeseen circumstances.

 

5.2. Shipping Costs - Shipping fees are calculated based on the size, weight, and destination of your order. Any applicable shipping charges will be displayed at checkout before you complete your purchase.

5.3. Tracking Your Order - Once your order has been dispatched, you will receive a shipping confirmation email containing a tracking number (if applicable). Customers are responsible for monitoring their tracking details and contacting the courier service for updates regarding their delivery status.

5.4. Delivery Address & Responsibility - It is the customer’s responsibility to ensure that the shipping address provided at checkout is accurate and complete. Vivian May Interiors is not liable for any loss, delay, or non-delivery resulting from incorrect or incomplete address details supplied by the customer.

If an incorrect address has been provided:

  • We are not responsible for the loss of the package.

  • We will not issue replacements or refunds if the order is delivered to an unintended recipient.

  • If the parcel is returned to us due to an incorrect address, the customer will be responsible for paying additional shipping costs to resend it.

 

5.5. No International Shipping - We currently only ship within the United Kingdom, excluding Northern Ireland and do not accept international orders. Any orders placed with a shipping address outside of these areas will be cancelled and refunded.

 

5.6. Lost, Stolen, or Parcels damaged in transit - Once an order has been dispatched, it is in the hands of the courier service, and customers are responsible for monitoring their tracking details. Vivian May Interiors is not liable for lost, stolen, or damaged parcels; however, we will assist customers in filing claims with the courier where applicable.

Before reporting a lost or stolen parcel, customers must:

  • Check the tracking service to confirm that the item has been marked as delivered to the correct address.

  • Check with household members, neighbors, or reception areas to ensure the parcel has not been accepted on their behalf.

If a parcel is confirmed as lost or stolen:

  • The customer must report the issue to the courier directly and follow their claims process.

  • If the courier requires our involvement, we will assist where possible, but Vivian May Interiors is not responsible for replacing or refunding lost or stolen items.

For damaged deliveries, customers must:

  • Contact us within 24 hours of receiving the order.

  • Provide clear photos of the damaged packaging and items.

  • Retain all packaging and documentation until the claim is resolved.

If a claim is approved by the courier, we will offer a replacement or refund in accordance with their resolution process.

5.7. Failed Deliveries & Redelivery Charges - If a delivery attempt is unsuccessful and the parcel is returned to us, customers may be required to pay an additional shipping fee to have it resent. We encourage customers to provide a secure and accessible delivery address to avoid failed deliveries.

6. Click & Collect

 

6.1. Availability & Eligibility - Our Click & Collect service allows customers to place orders online and pick them up in-store at Vivian May Interiors, Bude. This service is available for selected products and will be displayed as an option at checkout where applicable.

 

6.2. Collection Location - Orders can be collected from:

Customers will receive a confirmation email once their order is ready for collection. Please wait for this notification before visiting the store to avoid disappointment.

 

6.3. Collection Timeframe​ - Some items will be available for same-day collection, depending on stock availability. Customers can check Click & Collect availability for a product directly on the product page, under the Click & Collect section. This will indicate whether the item is available for same-day collection or if it requires additional processing time.

If an item is not available for same-day collection, customers will be notified via email with an estimated collection date. These delays may occur if the item is not stored on-site and needs to be sourced from our suppliers.

Orders must be collected within 14 days from the date of notification.

 

6.4. Proof of Purchase - To collect an order, customers must provide:

  • A valid order confirmation email (printed or displayed on a mobile device).

  • Proof of identity (e.g., passport, driving license, or bank card used for purchase).

If someone else is collecting on behalf of the customer, they must bring written authorization and the order confirmation.

 

6.5. Non-Collection & Refunds - If an order remains uncollected beyond the 14 day collection window and no prior arrangement has been made:

  • We reserve the right to cancel the order and issue a refund (excluding any non-refundable items).

  • Charge a handling and storage fee of 15% of the total order value.

  • If extended storage is required, customers must contact us in advance to make arrangements.

 

6.6. Changes to Orders - If a customer wishes to modify or cancel a Click & Collect order before collection, they must contact us as soon as possible. Once an order has been marked as ready for collection, modifications may no longer be possible.

7. Returns & Refunds

7.1. General Returns Policy - We want our customers to be completely satisfied with their purchases. If you are not happy with your item, you may be eligible to return it in accordance with our Returns Policy. Items must be returned within 14 days of receiving the order and must meet the following conditions:

  • The item must be unused, in its original packaging, and in a resalable condition.

  • Any labels, tags, and accessories must be intact.

  • The item must not be a non-returnable product as outlined in Section 7.2.

Customers are responsible for returning the item at their own expense unless the product is faulty or damaged upon arrival. We recommend using a tracked postal service to ensure the safe return of your item, as we cannot accept responsibility for lost or undelivered returns.

 

7.2. Non-Returnable & Non-Refundable Items - Certain products cannot be returned or refunded for hygiene and custom-order reasons. These include but are not limited to:

  • Custom-made or upcycled furniture that has been specially commissioned.

  • Frenchic Paint products that have been opened or used.

  • Jewellery items that pierce the body, such as earrings, belly rings, or nose rings.

  • Gift vouchers or store credit.

 

If a product is listed as non-returnable, this will be clearly stated at the time of purchase.

 

7.3. Faulty, Incorrect, or Damaged Items - If you receive an item that is faulty, damaged, or incorrect, please notify us within 24 hours of receiving your order. To process a claim, customers must provide:

  • Clear photos of the damaged or incorrect product.

  • A description of the issue.

  • Proof of purchase (order confirmation or receipt).

Once reviewed, we will determine whether a replacement or refund is appropriate. Refunds for faulty or damaged goods will be issued back to the original payment method within 14 days after approval.

7.4. Refund Process & Timeframes - Once we receive and inspect a returned item, we will notify the customer of the refund decision. If approved, refunds will be processed to the original payment method within 14 days of confirmation.

Please note:

  • Shipping costs are non-refundable unless the return is due to a faulty or incorrect product.

  • Refund times may vary depending on the payment provider or bank processing times.

 

7.5. How to Initiate a Return - To start a return, customers should:

1. Contact us via email, phone or by using the online return form with the order number and reason for return.

2. Await return approval and follow the instructions provided.

3. Return the item using a tracked postal service to ensure it reaches us safely.

4. Retain proof of postage until the return has been processed.

7.6. Exchanges - Exchanges may be offered on certain products if the returned item meets the conditions in Section 7.1. To request an exchange, please contact us before returning your item to check availability.

7.7. Cancellations - Customers may cancel an order before it has been dispatched by contacting us as soon as possible. If the order has already been shipped, it must be returned following the Returns Policy in Section 7.1.

8. Promotions, Discounts & Coupon Codes

 

8.1. From time to time, Vivian May Interiors may offer promotional discounts, coupon codes, or special offers either online or in-store. These offers are provided at our sole discretion and are subject to change or withdrawal at any time without notice.

 

8.2. All promotional codes must be entered at checkout at the time of purchase. We are unable to apply discount codes retroactively to orders once they have been placed.

 

8.3. Only one promotion or discount code may be used per transaction, unless otherwise stated. Discounts cannot be combined with any other offers, sale items, or promotional bundles unless explicitly stated.

 

8.4. Discount codes are non-transferable, cannot be exchanged for cash, and are valid only during the promotional period specified. Expired codes will not be accepted.

 

8.5. If a customer returns an item purchased using a discount code, the refund will reflect the amount paid after the discount was applied. Any free gifts or promotional items linked to a qualifying order must also be returned in order to receive a full refund.

8.6. We reserve the right to refuse or cancel the use of a promotional code if we suspect it is being used fraudulently, dishonestly, or in breach of the terms outlined above.

8.7. Promotions, discounts, and coupon codes are only redeemable on purchases made directly through www.vivian-may.com and cannot be applied to purchases made via third-party selling platforms, including but not limited to Amazon, eBay, Etsy, or OnBuy.

8.8. Friendship Loyalty Program – Customers who participate in our Friendship Loyalty Program may be eligible to receive points, rewards, or exclusive discounts based on their purchase history and engagement.

  • Loyalty rewards are non-transferable, not redeemable for cash, and must be used within the timeframe stated.

  • Loyalty points and rewards cannot be applied to past purchases or combined with other offers unless specified.

  • We reserve the right to modify or cancel the program or its benefits at any time without prior notice.

9. Marketing Communications & Consent

 

9.1. When you make a purchase on our website and provide your email address, you agree that we may contact you with occasional marketing and educational emails about similar products and services. This is permitted under the soft opt-in rule as outlined in the Privacy and Electronic Communications Regulations (PECR).

10. Limitation of Liability

 

10.1. While we strive to provide accurate information and high-quality products and services, Vivian May Interiors shall not be held liable for any indirect, incidental, or consequential damages that may arise from the use of our website, products, or services. This includes, but is not limited to, loss of data, loss of profits, loss of business, or disruption of service.

 

10.2. Our total liability to you in connection with any product purchased through our website is strictly limited to the purchase price of that product, unless otherwise required by law.

 

10.3. We are not responsible for any delays or failures in performance resulting from circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters or adverse weather conditions

  • Acts of government or authority

  • Strikes, labour disputes, or disruptions in supply chains

  • Technical failures, courier delays, or internet outages
